TOTE Trailer Booking Instructions
To make and confirm a trailer booking, TOTE will need the following information:
- Your Rate Quote Number. If you need a Rate Quote, please call our Quote Department at 253-449-8248 or 1-800-426-0074 or click the following link to request a Rate Quote online: Rate Quote Request.
- Shipper Name, Address and Contact Phone Number.
- Consignee Name, Address and Phone Number (Recipient of Trailer).
- A detailed description of trailer(s) and cargo contents that are to be shipped.
- If the trailer is a pintle hitch, ball hitch, or a non-fifth wheel compatible unit including recreational vehicle, please contact TOTE's Vehicle Department to make a booking, see vehicle page. Call the Vehicle Department at (800) 426-0074.
- Your trailer dimensions including height, length, width and weight of the trailer(s) to be shipped. Trailers over 14' high, 12' wide, 55' in length or loads weighing more than 65,000 lbs. may need special handling.
- If your shipment requires heavy lift or crane operations, please notify TOTE as early as possible. Diagrams of the freight should be faxed to Customer Service at (253)-449-8207.
- When booking a load that is valued over $250,000, Customer Service must be notified of the actual value of the freight.
- If shipping northbound hazardous materials, including smokeless powder and/or blasting agents, bookings may only be made over the phone and are required to go through a pre-approval process. Please contact Customer Service at 1-800-426-0074 for further information.
- If you are shipping hazardous material southbound, please contact 907-265-7255 for pre-approval of shipments.
- The date, time and location of where the trailer is available for pickup, if it is your trailer and you want TOTE to do the drayage to Tacoma.
- If you want TOTE to supply the trailer equipment and the drayage, we'll need to know when and where the shipper wants the trailer for loading.
- Please specify whether the freight to be shipped requires Keep From Freezing or Water Tight stowage. If cargo is unusually time-sensitive, please let us know so that proper arrangements can be made to meet your needs.
- Prior to your trailer arriving at the Tacoma terminal, payment arrangements must be completed. Please visit the Payment Information Page and call 1-800-426-0074 to make provisions for payment.
- All shipments require you to submit a signed Bill of Lading. The B/L must be TOTE-issued with the following information provided by the shipper: trailer number, booking number, destination, brief description of what is being transported, as well as a valid signature.
